BOOKING TERMS & CONDITIONS
Unlimited Shepa Expeditions (P) Ltd
Registration No.: 3311102, Nepal
Effective Date: 2026
These Booking Terms & Conditions apply to tours, trekking, peak climbing, mountaineering expeditions and other travel services arranged or operated by Unlimited Shepa Expeditions (P) Ltd (“Unlimited Shepa Expeditions”, “we”, “us” or “our”).
By making a booking, paying a deposit, accepting a booking confirmation or participating in a trip, you (“Client”, “you” or “your”) agree to these terms and the specific itinerary or quotation provided for your trip.
1. Booking and Confirmation
A booking becomes confirmed when:
- We accept your booking request; and
- The required deposit or payment has been received.
A booking confirmation, invoice or written confirmation issued by Unlimited Shepa Expeditions (P) Ltd will specify the services booked, price, payment schedule and other relevant details. An inquiry or provisional reservation does not guarantee availability until it has been confirmed by us.
For certain peak climbing and mountaineering expeditions, additional expedition-specific terms may apply.
2. Deposit and Payment
Standard Deposit
A 35% deposit per person is normally required to confirm a booking.
Certain climbing, expedition or specially arranged trips may require a higher deposit because advance payments may be necessary for permits, flights, accommodation, transportation, staff, equipment and other services. The exact deposit and payment deadline will be stated in your quotation or invoice.
Balance Payment
The remaining balance must normally be paid before the start of the trip, unless a different payment schedule has been agreed in writing. For major expeditions, the balance may be required earlier because significant costs must be committed in advance.
If the balance is not received by the required deadline, we may cancel the booking and apply the applicable cancellation conditions. Bank charges, payment gateway fees and currency conversion costs may be payable by the Client.
3. Cancellation by the Client
If you need to cancel your trip, you must notify Unlimited Shepa Expeditions (P) Ltd in writing. Cancellation charges are calculated from the date we receive your written cancellation request.
Standard Cancellation Policy
| Cancellation Notice | Cancellation Charge |
|---|---|
| More than 30 days before departure | Deposit is normally non-refundable; refundable balance subject to actual committed costs |
| 30–21 days before departure | Up to 50% of total trip price |
| 20–8 days before departure | Up to 75% of total trip price |
| 7 days or less before departure | Up to 100% of total trip price |
| No-show or cancellation after departure | 100% of applicable trip cost |
These charges are a guideline for standard trekking and tour bookings. Actual non-refundable costs already paid or committed to airlines, hotels, permits, transportation companies or other suppliers may also apply.
Important
Certain trips have different cancellation conditions, particularly:
- Mountaineering expeditions;
- Peak climbing;
- Special expedition packages;
- Trips requiring advance government permits;
- Non-refundable flights;
- Special hotel arrangements; and
- Group or customized programs.
Where different cancellation conditions apply, they will be stated in the quotation or booking confirmation.
4. Three-Week Cancellation and One-Year Postponement Policy
We understand that adventure travel plans can change.
For eligible trekking, tour, climbing and expedition bookings, if you notify us at least 21 days (3 weeks) before the original departure date, you may request to postpone or transfer your trip for up to one year from the original departure date.
The following conditions apply:
- The postponement must be requested in writing.
- The new departure is subject to availability.
- The new trip must normally be completed within 12 months of the original departure date.
- The postponement is generally provided as a trip credit/transfer rather than a cash refund.
- Any difference in the price of the new departure will be payable by the Client.
- If the new trip costs less, the difference is not automatically refundable.
- Non-refundable costs already paid or committed to third parties may be deducted.
- Airline tickets, government permits, climbing permits, hotels and other services may have separate transfer or cancellation conditions.
Requests made less than 21 days before departure are normally subject to the standard cancellation policy and are not automatically eligible for the one-year postponement option. For major expeditions, postponement is also subject to applicable government permit and expedition regulations.
5. Changes to Your Booking
If you want to change your departure date, itinerary, accommodation, transportation or other arrangements, please contact us as early as possible. Changes are subject to availability and may result in additional costs.
Any charges imposed by airlines, hotels, transportation companies, government authorities, permit offices or other suppliers may be passed on to the Client. Where a requested change is not possible, the original booking and cancellation conditions will apply.
6. Prices and Price Changes
Prices shown on our website, brochures or other promotional material may change before a booking is confirmed. Once your booking is confirmed, the agreed price will normally apply.
However, additional costs may arise from circumstances outside our reasonable control, including:
- Government tax or fee changes;
- Permit fee changes;
- Airline or transportation price increases;
- Changes in exchange rates;
- Fuel price increases;
- Changes in government regulations;
- Supplier price changes; or
- Other mandatory charges introduced after confirmation.
Where such costs materially affect a confirmed booking, we will inform the Client as soon as reasonably possible.
7. Itinerary Changes
Mountain and adventure travel is affected by conditions that cannot always be predicted.
The itinerary shown on our website or booking documents is a planned itinerary, not a guarantee of exact timings or locations. We may change, shorten, extend or reroute an itinerary when reasonably necessary because of:
- Weather;
- Snow or avalanche conditions;
- Landslides or floods;
- Road or trail conditions;
- Flight disruption;
- Helicopter availability;
- Mountain or route conditions;
- Health or acclimatization;
- Political or security situations;
- Government restrictions;
- Permit requirements;
- Natural disasters;
- Safety concerns; or
- Other circumstances beyond our reasonable control.
Our priority is always the safety of Clients, guides, Sherpas, porters and other staff. Where practical, we will provide a reasonable alternative.
8. Domestic Flights and Transportation in Nepal
Domestic flights in Nepal, particularly flights to mountain airports such as Lukla, are subject to weather, visibility, airport conditions, aircraft availability and airline operating decisions. Flights may be delayed, cancelled, rescheduled or diverted.
During periods when flights to the Everest region operate from Ramechhap/Manthali Airport, Clients may need to travel between Kathmandu and Ramechhap by road according to current airline and airport arrangements. If a flight is cancelled or delayed, we will make reasonable efforts to assist with alternative arrangements.
Additional costs resulting from flight disruption, including accommodation, meals, transportation, rebooking or helicopter services, may be payable by the Client where they are not included in the package or covered by the airline or insurance.
We are not responsible for consequential losses such as missed international flights caused by domestic flight delays or cancellations, except where liability cannot legally be excluded.
9. Trekking, Climbing and Mountaineering Risks
Trekking, peak climbing and mountaineering are adventure activities and involve inherent risks. These may include:
- Acute Mountain Sickness (AMS);
- High Altitude Cerebral Edema (HACE);
- High Altitude Pulmonary Edema (HAPE);
- Hypothermia;
- Frostbite;
- Avalanche;
- Rockfall;
- Icefall;
- Crevasses;
- Falling ice or snow;
- Extreme weather;
- Strong winds;
- Exhaustion;
- Injury or illness;
- Delayed evacuation; and
- Other mountain-related hazards.
By participating in such activities, Clients acknowledge these risks and agree to follow reasonable safety instructions from guides and expedition leaders.
10. Summit Success and Expedition Conditions
For peak climbing and mountaineering expeditions, summit success can never be guaranteed. Summit attempts depend on:
- Weather;
- Route and snow conditions;
- Acclimatization;
- Physical condition;
- Technical ability;
- Team readiness;
- Permit conditions;
- Mountain safety; and
- Available summit weather windows.
Our guides and expedition leaders may decide to turn a climber around or cancel a summit attempt when they believe continuing would create unacceptable risk. Such a decision made for safety reasons does not automatically create a right to a refund.
Expedition durations are planned according to the selected program. Some experienced climbers may be eligible for shorter or accelerated programs, but these remain dependent on acclimatization, experience, route conditions, weather and operational feasibility.
11. Medical Fitness
Clients are responsible for ensuring that they are physically and medically suitable for their selected trip. For high-altitude trekking, climbing and expeditions, appropriate medical consultation before departure is strongly recommended. Clients must inform us of any relevant medical conditions, allergies, medications or other information that may affect their safety.
For certain expeditions, we may require a medical certificate or health declaration.
Our guides or expedition leaders may require a participant to descend, stop climbing or withdraw from an activity if continuing is considered unsafe.
12. Travel Insurance
Clients are expected to have comprehensive travel insurance appropriate for their trip. For trekking, climbing and expedition programs, the insurance should cover, where applicable:
- Emergency medical treatment;
- Helicopter evacuation;
- High-altitude rescue;
- Trekking and mountaineering activities;
- The maximum altitude of the trip;
- Repatriation;
- Trip cancellation;
- Trip interruption;
- Flight disruption; and
- Baggage loss or damage.
Clients must check their policy carefully because many standard travel insurance policies exclude mountaineering, high-altitude trekking or climbing. We may request proof of appropriate insurance before departure.
13. Emergency Rescue and Evacuation
In the event of an accident, illness or other emergency, Unlimited Shepa Expeditions (P) Ltd will make reasonable efforts to coordinate appropriate assistance. This may include coordination with:
- Guides and expedition staff;
- Helicopter operators;
- Hospitals and medical facilities;
- Rescue organizations;
- Local authorities;
- Insurance companies; and
- Other relevant agencies.
Rescue availability depends on weather, visibility, location, altitude, aircraft availability and other operational factors. A helicopter or other evacuation service cannot be guaranteed immediately.
Unless specifically included in the confirmed package, medical treatment, evacuation and repatriation costs are the responsibility of the Client and should be covered by insurance.
14. Guides, Sherpas and Expedition Staff
Our guides, expedition leaders, Sherpas, porters and other staff are responsible for supporting the safe operation of the trip. Clients are expected to:
- Follow reasonable safety instructions;
- Respect guides, Sherpas, porters and local staff;
- Follow the agreed itinerary and group procedures;
- Respect local communities and customs; and
- Behave responsibly throughout the trip.
A guide or expedition leader may change the route, schedule or activity where necessary for safety. We may remove a Client from a trip if their behavior creates a serious risk to themselves or others, involves illegal conduct, harassment, violence, serious disruption or other unacceptable behavior.
In such circumstances, no automatic refund will normally be provided and the Client may be responsible for additional costs.
15. Accommodation
Accommodation will be provided according to the confirmed itinerary. In remote trekking and expedition regions, accommodation may be basic and facilities may be limited.
Hotels, lodges and teahouses are subject to availability. Where the specified accommodation is unavailable, we may arrange a reasonable alternative. Single rooms, where available, may require an additional charge.
16. Meals and Dietary Requirement
Meals included in your trip will be specified in the itinerary or quotation. Clients should advise us in advance of allergies or special dietary requirements. We will make reasonable efforts to accommodate dietary needs, but choices may be limited in remote mountain areas.
Clients with serious allergies should carry necessary medication and inform their guide.
17. Passport, Visa and Permits
Clients are responsible for having valid:
- Passport;
- Nepal visa, where required;
- Travel insurance;
- Required permits;
- Climbing documentation; and
- Other travel documents required for their trip.
We may assist with general visa and permit information and, where included, permit processing. However, the Client remains responsible for providing accurate documents and meeting immigration and entry requirements.
18. Personal Belongings
Clients are responsible for their personal belongings, passports, money, electronics, cameras, equipment and other valuables. We recommend appropriate baggage and personal-property insurance.
Unlimited Shepa Expeditions (P) Ltd cannot accept responsibility for loss, theft or damage except where liability cannot legally be excluded.
19. Responsible Travel
We expect all Clients to respect Nepal’s:
- Environment;
- Local communities;
- Culture and traditions;
- Religious sites;
- Wildlife; and
- National parks and conservation areas.
Clients must not litter, damage the environment, remove cultural or natural objects, or engage in disrespectful or illegal activities. Mountaineering and expedition Clients must follow applicable environmental and waste-management requirements.
20. Wildlife and Natural Attractions
Wildlife sightings, mountain views, weather conditions, flowering seasons and other natural attractions cannot be guaranteed.
Photographs and descriptions on our website are intended to represent the destination and experience and should not be interpreted as a guarantee of particular conditions.
21. Complaints
If you experience a problem during your trip, please inform your guide, trip leader or local representative as soon as possible. This gives us a reasonable opportunity to resolve the issue while the trip is taking place.
If the matter remains unresolved, a written complaint should be submitted to Unlimited Shepa Expeditions (P) Ltd within 7 days after completion of the trip. We will review the matter and respond within a reasonable period.
22. Force Majeure
We are not responsible for changes, delays or cancellations caused by circumstances beyond our reasonable control. These may include:
- Earthquake;
- Flood;
- Landslide;
- Avalanche;
- Severe weather;
- Natural disasters;
- Epidemic or pandemic;
- Civil unrest;
- Political instability;
- Government restrictions;
- Airport or road closure;
- Mountain route closure;
- Industrial action;
- Major transportation disruption; or
- Other extraordinary circumstances beyond reasonable control.
In such circumstances, we will make reasonable efforts to assist Clients and, where possible, offer alternative arrangements or recoverable credits/refunds. Refunds in Force Majeure situations depend on amounts recoverable from suppliers and the circumstances of the booking.
23. Cancellation by Unlimited Shepa Expeditions (P) Ltd
We reserve the right to cancel or substantially change a trip when reasonably necessary because of:
- Safety concerns;
- Government restrictions;
- Permit issues;
- Severe weather;
- Mountain conditions;
- Force Majeure;
- Insufficient operational feasibility; or
- Other circumstances beyond our reasonable control.
Where possible, we will offer an alternative departure, credit or other reasonable solution. Where cancellation results from circumstances beyond our control, refunds will depend on amounts recoverable from suppliers and other committed costs.
24. Third-Party Services
Some services are provided by independent suppliers, including airlines, helicopter operators, hotels, transportation companies, local service providers and other contractors.
These services may be subject to their own terms and conditions. Unlimited Shepa Expeditions (P) Ltd will make reasonable efforts to work with reliable suppliers but cannot control circumstances directly arising from their independent operations. Airline services are subject to the applicable airline’s conditions of carriage.
25. Special Terms for Peak Climbing and Expedition
Peak climbing and mountaineering expeditions involve significantly higher advance commitments than standard trekking. Additional conditions may apply to:
- Climbing permits;
- Expedition permits;
- Government fees;
- Base Camp services;
- High-altitude camps;
- Sherpa support;
- Oxygen;
- Fixed ropes;
- Expedition equipment;
- Transportation;
- Waste deposits;
- Summit-related services; and
- Permit postponement or transfer.
Where a specific expedition quotation contains additional terms, those terms will apply to that expedition.
26. Equipment and Preparation
Clients are responsible for bringing suitable personal clothing, footwear, equipment and medication. We will provide an equipment checklist or preparation information where appropriate. For climbing and expedition programs, equipment may be checked before or during the climbing period.
Our guides or expedition leaders may prevent the use of equipment that is cons
